Controller

PANDA WHISKY CLUB CIC is the controller of personal data connected with membership and this website. For data enquiries, contact hello@pandawhiskyclub.co.uk.

What we collect

Name, email, age confirmation, membership status, event bookings, points, referral activity, contact form content and communication preferences. If you use the one-to-one WhatsApp assistant, we also process your phone number, membership verification status, conversation-flow state, command history, the whisky name and any community-post screenshot you submit for review. We do not automatically monitor ordinary WhatsApp group chats and never ask a member to upload a friend’s contact details.

Why we use it

To create and secure accounts, verify email addresses and WhatsApp numbers, manage membership and events, review contribution points, respond to enquiries and prevent misuse. Marketing is sent only with active consent.

Service providers

We use Supabase for membership and operational data, Resend for email delivery, Vercel to run the website and Meta’s official WhatsApp Business Cloud API for the one-to-one member assistant.

Retention and security

Codes are kept briefly and stored as non-readable hashes. Webhooks retain only the identifiers, hashes and processing status needed for reliable delivery, rather than long-term raw payloads. Submitted screenshots are held privately and exposed to administrators through short-lived signed links. Security, audit and points records are retained for a reasonable operational or legal period.

Your choices

Send STOP in WhatsApp to disable non-essential notifications. START restores permitted service notifications but never silently restores marketing consent. Verification, account security, review results and essential event changes are separate from marketing. You may also request access, correction or deletion.
